The Brief
To deliver a virtual meeting for approximately 160 distributors within the Europe, Middle East, Africa & Canada region (EMEAC). The conference should contain three distinct ‘streams’ that focus on the different care areas in which the client operates, an opening and closing/awards ceremony, a VIP Networking session, have live Q&A, contain approximately 28 different presentations, be a mixture of live and recorded content, be delivered over two days and be recorded so that delegates could access all content post event.
At the time of issuing the brief to the Nimlok team the client had already determined the date of the ‘event’ which provided 5 weeks of development time.
Our Response
Nimlok immediately set about developing a suitable portal in which to deliver the virtual conference with an experienced team of streaming specialists. The Nimlok Creative team designed the creative identity for the conference which included the PowerPoint template, virtual background and awards. Simultaneously the Nimlok Digital team created a registration portal to capture delegate information and manage communications.
All prospective presenters where contacted via video call to ensure that their technical setup was suitable and if there were any deficiencies, webcams and other equipment was despatched.
Of the 28 different sessions, 5 were to be recorded prior to the event due to the presenter’s itineraries not permitting them to attend on the day. The Nimlok team worked with the streaming specialists to capture each of these sessions in high quality and then edit to include videos and other assets.
The Results
To the client’s delight, the two-day virtual conference received 240 attendees across three simultaneous streams. Delegates complimented the client on the content, professionalism of the presentation and ease with which the conference was delivered.
The client is currently in discussion with Nimlok about both the next event and a hybrid execution to accommodate both face to face and virtual delegates as we transition out of the pandemic
